Job Summary

Under the direction of the Focus on Self-Sufficiency Department Director, the FSSD Receptionist role is to support and assist in the efficient planning, implementation and maintenance of service operations of DYCS programs. The FSSD Receptionist works to ensure optimal customer service, maintenance and safety standards are met, in serving consumers, guest, and Agency staff.

Job Description

Qualifications/Education and Experience:

Education: High School Diploma required; Associate Degree preferred, in Secretarial and Administrative Science, Business Administration or a related field; an equivalent combination of education and experience will be considered.

Work Experience: Minimum of six (6) months of clerical, receptionist, administrative assistant, work experience required, preferably in a non-profit and community-based setting. Experience training and supervising volunteers and Interns is a plus.

  1. Requires good organizational and planning skills; must be attentive to details, have good administrative, analytical, negotiations and problem-solving skills; requires ability to work independently and manage multiple functions with tact and diplomacy. Requires a high regard for confidentiality for all items, incidents, and exchanges of a sensitive nature.

  2. Requires a working level knowledge of reception area and switchboard operations and maintenance functions. Experience operating and maintaining general office equipment including, copying and postal machines, is a major plus.

  3. Requires a working level knowledge of and experience in performing general clerical and secretarial duties and in office management skills including: scheduling, data entry, lite typing, mailings, delivery receipts, filing, copying, purchasing supplies, inventory control, and equipment maintenance; and overall reception area maintenance. Experience providing administrative oversight in maintaining effective and efficient communication systems and equipment is a plus.

  4. Must have strong interpersonal and customer service skills: knowledge of telephone etiquette and a pleasant telephone and speaking voice is essential. Requires experience working with diverse individuals in diverse settings; enthusiasm, sensitivity and respect for all consumers is required.

  5. Requires proficiency with Microsoft Office Applications: Word and Outlook is required; some experience managing data base systems and data entry required; experience in maintaining electronic & paper records and file systems; experience preparing assigned reports, directories, forms, spreadsheets and related agency department communications is required.

  6. Experience working with interdisciplinary teams, multiple departments and service units, and or collaborative structures.

  7. Knowledge of the Greater Rochester community, surrounding areas and resources including: human service, educational, business, workforce development organizations, transportation, and related supportive service systems and entities, is a plus.

  8. Experience assisting in coordinating logistics, promoting,† and implementing info sessions, presentations, meetings, related special events, and supplemental activities (i.e. coat drives, outreach, etc.) to support services and consumers, is a plus.

  9. Must have good communication skills, oral & written; experience in preparing, disseminating, and interpreting informational announcements, procedures and related communications.

  10. Bi-lingual capabilities preferred English and Spanish.

  11. Requires the physical health and physical capability to work in an office setting.

  12. Requires a valid NYS Driverís License, and access to reliable transportation
